     We hope you are just as excited to return to offline events as we are. Amid all this excitement, we must stay mindful that the country is still struggling from the Covid Health Crisis. For the safety of all our attendees, we will be enforcing multiple safety precautions. We know that these precautions are difficult, but they will allow people to feel as safe as possible and have an enjoyable weekend.

     Frosty Faustings LLC. is implementing the following health & safety policies at Frosty Faustings XIV 2022. Upon registration, you will need to confirm that you understand and agree to abide by these policies on-site, including our mandatory vaccination, required negative test, & masking policies.

     We have developed these policies in accordance with government regulations, CDC guidance, and currently available scientific data. Please note that as pandemic conditions change, we may update these policies to maximize the safety of our attendees. We will make every effort to communicate changes promptly so that you can make informed decisions about your attendance. A changelog is available at the bottom of this page.

     An inherent risk of exposure to COVID-19 exists in any public space where people are present. By attending Frosty Faustings XIV 2022 you voluntarily assume all risks related to exposure to COVID-19. 

     We know this has been a challenging time for everyone and thank you for your understanding and cooperation. We know everyone can band together to help keep our community safe. TL;DR

 

•   PROOF OF VACCINE is required for entry and badge pickup. Please bring your vaccine card, clearly printed photocopy, or digital Covid QR code showing you have received both doses of a 2-dose vaccine or 1 dose of a single dose vaccine. (No pictures of your card). Proof of vaccination without negative Covid test will not gain you entry.

•  PROOF OF NEGATIVE COVID TEST is required in addition to being fully vaccinated for entry and badge pickup. Test must be administered by a professional within 48 hours of checking in at registration/badge pickup. Frosty Faustings will have a FREE ON-SITE RAPID TESTING BOOTH set up in the lobby for any attendee who was not able to test prior to the event. Over-the-counter at-home or self-administered tests will not be accepted. Proof of negative test without proper vaccination proof will not gain you entry to the event.

•   WRISTBANDS will be given once your NEGATIVE Covid test is verified. Your wristband must stay on at all times and is required for the entire event, including the After Party. Attendees without a wristband will need to retake a Covid test. 

•   VALID ID will be visually inspected to match vaccine cards.

•   FACE MASKS will be always required in all event spaces. Proper mask usage will be strongly enforced.

•   PLEASE WASH YOUR HANDS OFTEN. Sanitizing stations will be positioned throughout the venue.

•   MAXIMUM COMPETITOR COMFORT. The event will be capped at 3,000 attendees (competitors & spectators), not including staff. We have taken steps to reduce congestion and allow for more space between tables and fewer players per pool.

•   BADGE & WRISTBAND CHECKS AT THE ENTRANCE TO EVERY BALLROOM AREA. Licensed Security will be checking for badges and negative test wristbands at the entrance to every ballroom area. Lost badges will require a new badge purchase and a recheck of your vaccine card. Lost wristbands will require another negative Covid test.

•   NO FOOD OR DRINKS ARE ALLOWED EXCEPT IN A DESIGNATED AREA. No food or drinks (except water) will be allowed outside the designated area. Magnolia Ballroom will be allocated for physically distanced tables for those who choose to eat on-site. We strongly encourage guests to eat in their hotel rooms when possible. When drinking water, please keep your mask on unless actively taking a sip. 

 

Any attendee refusing to follow our Covid Policy will be removed from the event without a refund.


Vaccine Requirements

 

All attendees at Frosty Faustings XIV 2022, including staff, volunteers, guests, minors, contractors, and vendors/artists must be fully vaccinated against COVID-19 in order to attend the event. 

  • Proof of vaccination will be required in order to pick up your event badge, so please make sure to bring your physical vaccination card with you. Frosty Faustings will not store information about your vaccination status; a visual check of your documentation will be completed by our registration staff.
  • Acceptable vaccination documentation includes: 
    • an original physical vaccination card (no photos), or
    • a clear, unaltered photocopy or
    • a digital vaccination record, including a QR code that allows the record to be validated with the issuing state or government body, either displayed on your smart device or printed out.
  • A negative test will be required in addition to your vaccination card. Onsite testing will be available. See Negative Test Requirements below. 

 

     Your vaccination documentation MUST clearly demonstrate that the document presented belongs to you, meaning it must match the name and date of birth on the government-issued photo identification that you use to pick up your badge. If you have legally changed your name since your vaccination, or are in the process of doing so, please also bring proof of your name change.

     Your vaccination documentation MUST ALSO clearly demonstrate that you are fully vaccinated according to the current CDC definition, meaning it must show your vaccination type and date(s) so that our registration staff can confirm that you have received your second dose of a two-dose vaccine, or your first dose of a single-dose vaccine, at least 14 days before arriving on-site at the event. This means that for most attendees, your final vaccination must be on or before January 13, 2022. We will accept all COVID-19 vaccines that have received Emergency Use Authorization or full approval by the US Food and Drug Administration (FDA) or the World Health Organization (WHO).

A SPECIAL NOTE FOR PARENTS/GUARDIANS OF CHILDREN NOT YET OLD ENOUGH TO BE VACCINATED

Please know that you and your family are enormously important to us and we have struggled deeply with this policy. At the time of pre-registration launch, we are not permitting badge sales for individuals under the age of 5 since they are unable to be vaccinated. However, we will continue to watch the situation carefully and will open up badge sales for younger attendees if and when vaccines become available. 

 


Negative Test Requirements

 

All attendees at Frosty Faustings XIV 2022, including staff, volunteers, guests, minors, contractors, and vendors/artists must test negative for Covid-19 within 48 hours of checking in at registration. 

  • FREE ON-SITE RAPID COVID TESTING will be available in the Lobby of the Westin for all attendees to get tested. Tests are administered by DonnBek Corp in partnership with LabElite.
  • Offsite Covid tests are allowed but must be professionally administered within 48-hours of arriving at registration. For example, if you check in Thursday 1/27, the earliest we will accept an offsite test is Tuesday 1/25.
  • Rapid Antigen or PCR tests will be accepted. No over-the-counter at home or self-test will be accepted.
  • Proof of a negative Covid test may be provided by showing an email on your phone or by providing a printout of your result.
  • Wristbands will be given as proof of your negative COVID test and must be worn at all times. Our Security and Staff will be actively monitoring for badges and wristbands and stopping anyone without both items. The FFXIV After Party will also require the same wristband. Should you lose your wristband you will be required to take a new test on-site.

If you are traveling a long distance, especially for those traveling by plane, we strongly recommend getting tested before you travel. All major airports offer on-site testing by appointment so please explore all options. Most should be free. FF would hate for you to travel a far distance only to test positive and not be allowed to attend the event. 

CHECK-IN PROCESS WITH NEGATIVE TEST TAKEN WITHIN 48-HOURS OF ARRIVAL

  1. If you have gotten a NEGATIVE COVID-19 test professionally administered within 48-hours of checking in, you may proceed directly to the registration desk. Have your vaccine card and ID ready to pick up your badge.
  2. You will be given a wristband after verification of your negative test. You will be given a badge after verification of your vaccine card. Both are required to enter the event and you will be required to show both at all checkpoints. Please keep them visible at all times to speed things up.

CHECK-IN PROCESS IF NEEDING A COVID TEST

  1. Upon arrival, proceed directly to the mobile testing booth in the lobby, near the main entrance. While we anticipate some lines, the mobile testing booth will be very well staffed to ensure both efficiency and accuracy.
  2. An employee from DonnBek Corp. will administer your Covid test. Results only take 2-3 minutes.
  3. Upon proof of a negative result, you will be given a wristband. Proceed to the Registration Desk to pick up your badge. Your wristband, vaccination card, and photo ID will be required to pick up your badge.

Any attendees who receive a positive covid test result will not be allowed to enter the event spaces in the venue. Our security team will ask you to exit the venue or return to your on-site hotel room.

If you have tested positive for COVID on-site or within 48 hours of arrival we will issue a badge refund if the test was performed by a professional testing facility. Attendees who tested positive on-site will still be able to receive any pre-ordered merch order. If you are not on-site, merch may be shipped for an additional shipping charge.

 


Masks Requirements 

 

All attendees at Frosty Faustings XIV 2022, including staff, volunteers, guests, minors, contractors, and vendors/artists must wear a mask at all times while in any event ballrooms or corridors being occupied as event space. 

  • Staff and event security may ask you to put on a mask if you are seen without one. Failure to comply may result in expulsion from the event without a refund. 
  • Face coverings must be entirely made of tightly-woven material, have 2+ layers, fit snugly around the sides of your face, and cover your nose and mouth. We strongly recommend N95, KN95, or KF94 masks.
  • If you do not have a mask or you lose your mask, we will have Frosty Faustings face masks available for free while supplies last. 
  • You may remove your mask while actively eating or drinking in the designated food location. 

 


Social Distancing and Reduced Capacity

 

  • The maximum capacity of the event will be capped at 3,000 attendees.
  • We are increasing the amount of space between tournament tables. 
  • We have reduced the maximum number of players per pool from 32 to 24 in order to alleviate congestion around tournament setups.
  • In order to maximize competitor comfort and safety, we ask that only players who are entered into a pool’s bracket, stand around setups designated for that pool while it is being run.
  • Players may gather around casual setups freely but please be respectful of other people’s space. 

 


Increased Sanitation

 

  • Please make sure to wash your hands often and use hand sanitizer. We recommend that all attendees bring some portable hand sanitizer with them but there will also be free hand sanitizer stations available around the event spaces.
  • When playing on arcade cabinets, please make sure to wipe down the surface of the cabinet and the controls after your turn is over. Sanitary wipes will be provided by the event near the arcade areas.
  • Please be respectful of other attendees’ personal space. Fist bumps or elbow bumps are encouraged over handshakes.
  • Please do not leave any food or beverages unattended to avoid other attendees picking them up by mistake.

 


Designated Food & Beverage Space

 

  • Frosty Faustings will not be allowing any food or beverage (except water) to be consumed or purchased inside any of our gaming ballrooms.
  • We will offer on-site concessions and encourage attendees to take their food back to their hotel rooms to safely eat without a mask. 
  • If you do not have an on-site hotel room, we will be providing a 3,000 sq.ft. ballroom with physically distanced tables for attendees to quickly eat.
  • Lingering will not be allowed.
  • Masks will be required unless actively eating at your table.

     If you experience symptoms of COVID-19 or are alerted of exposure to a confirmed case of Covid 10 days prior to the event we ask that you stay home. Please follow all CDC guidelines regarding quarantining and isolation. It is hard to police everyone that may feel sick so we really need everyone’s cooperation in keeping our community safe! If you receive a positive test result yourself within 10 days preceding the event, we ask that you PLEASE stay home, both for your own safety and for the safety of others. We do not normally offer refunds but will make an exception to anyone who shows proof of a positive Covid test administered by a professional within 10 days before the event.

     Please listen to Frosty Faustings staff. We expect all attendees to cooperate fully with our staff, hotel staff, and any local security or law enforcement personnel. If you feel compelled to give us sass about your mask or requirements to attend, you should be aware that the consequences may include revocation of your badge without refund, removal from the venue, and/or an attendance ban from future Frosty Faustings events.
